Job Title:       Accounts Payable Specialist - Tier 3

 

Minimum Qualifications

Required

  • High School Diploma or equivalent; and
  • 3-5 years related experience.

 

Preferred

  • Associates degree or two years of college-level classes;
  • Strong skills in Microsoft Office, Excel, Access, Word, and PowerPoint;
  • Effective communication skills, both verbal and written;
  • Flexibility, organization, decision-making and problem-solving skills; and
  • Ability to sustain high work standards and high levels of competency in all related office skills.

Essential Job Responsibilities

  • Administer the general payable activities of the Finance Department, including receipt and verification of invoices for goods and services against purchase orders and P-Card purchases;
  • Review and approve incoming invoices for adherence with all Board policies, state laws and regulations, and appropriate accounting information;
  • Expedite payment of invoices by advising employees of potential problems;
  • Prepare batches of invoices for data entry, enter invoices for payment, and process edit report list;
  • Administer the weekly check run and prepare vendor checks for mailing;
  • Reconcile vendor statements and corporate purchasing cards on a monthly basis;
  • Process travel reimbursements in accordance with state and district guidelines;
  • Attend staff meetings and conduct Accounts Payable and P-Card training to small and large groups throughout the year;
  • Create and maintain Accounts Payable forms using Excel, Adobe PDF, and Word;
  • Review P-card statements and Process P-Card payments;
  • Has constant access to confidential information, therefore must respect and safeguard sensitive, confidential or privileged information;
  • Utilize knowledge of and experience with office procedures to manage information;
  • Work with colleagues to make recommendations to continuously improve existing processes;
  • Perform specific job functions independently and accurately with minimal to no supervision;
  • Knows and understands all aspects of the assigned position and works autonomously on a daily basis;
  • Use decision-making skills to determine specialized outcomes relating to area of responsibility;
  • Independently analyze and evaluate scenarios related to specific area of responsibility to determine risks and to mitigate potential liability to the district or the employees;
  • Prepare reports utilizing various software programs for the supervising Director/Executive Director; 
  • Develop or assist in developing filing systems & manages, and maintains filing systems; 
  • Comply with administrative directives and regulations, school board policies, and local, state, and federal regulations;
  • Seek answers to and answer questions that arise within area(s) of assignment;
  • Maintain professional relationships and work cooperatively with employees, school and district administrators, the community, and other professionals;
  • Maintain professional competence through individual and district training, in-service educational activities, and appropriate professional growth activities;
  • Meet deadlines and work on multiple projects;
  • Ensure compliance of office activities with financial, legal, and administrative requirements;
  • Attend staff meetings and training with reference to specific job responsibilities;
  • Cross-train to assist and relieve, when needed, other assigned areas of responsibility;
  • Take responsibility to oversee, under supervision, all aspects of the specific specialist assignment(s);
  • Complies with state-approved New Mexico Administrative Code of Ethical Responsibility of the Education Profession and the RRPS Employee Standards of Conduct and upholds and enforces rules, administrative directives and regulations, school board policies, and local, state and federal regulations; and
  • Employee may be assigned other duties based on the needs of the district during the term of employment.

Work Hours

Work hours will be in accordance with hours determined by the school district and

the individual departments.
